Key Responsibilities
This role focuses on supporting the CEO, managing the office environment and handling travel, while also offering some involvement in marketing, HR and finance.
- Oversee day-to-day operations of the office, ensuring a smooth and efficient work environment.
- Manage office supplies, maintenance, and vendor relationships.
- Coordinate office visits, prepare meeting spaces and welcoming visitors.
- Serve as the primary point of contact for internal and external inquiries.
- Provide administrative support to the CEO, including calendar management, meeting coordination and stakeholder management.
- Overseeing special projects, ensuring deadlines are met, and assisting with project-related research.
- Acting as a liaison between the executive and other departments, partners, and clients.
- Drafting documents and preparing materials for meetings.
- Ensuring accurate tracking of expenses, filing expense reports, and managing reimbursements.
- Handle travel arrangements for colleagues, including flights, accommodations, and transportation.
- Assist with financial administration, including uploading office-related invoices, collecting and uploading expenses, and supporting basic financial reporting.
- Assist with organizing and executing company events, meetings, and conferences.
- Coordinate event logistics, including venue booking, catering, and travel for participants.

- Proactive, hands-on and energetic personality
- Proven office management, administrative, or assistant experience.
- Excellent time management skills and ability to multitask and prioritize work.
- Attention to detail and problem solving skills
- Excellent organizational and planning skills.
